We respect your privacy and take the protection of your personal information seriously. This policy explains what information we may collect when you use our website, contact us or make an enquiry, and how we use and protect that information.

Information we collect

When you contact us through our website, make a booking enquiry or get in touch by email or telephone, we may collect:

  • Your name

  • Your email address

  • Your telephone number

  • Details of your enquiry or proposed booking

  • Any other information you choose to provide

Our website may also collect technical information, such as your IP address, browser type and information about how the website is used, through cookies and website services.

How we use your information

We use personal information to:

  • Respond to enquiries and requests for information

  • Manage hall and bar hire enquiries and bookings

  • Communicate with people organising or attending events

  • Keep relevant booking and financial records

  • Maintain and improve our website

  • Meet our legal and charitable responsibilities

We only use personal information where we have an appropriate lawful basis under UK data protection law. Depending on the circumstances, this may be to take steps towards or fulfil a contract, comply with a legal obligation, pursue our legitimate interests in running the Pie Hall and responding to enquiries, or act on your consent where required.

Where we rely on legitimate interests, these include managing enquiries, administering the venue and maintaining the security and effective operation of our website.

We will not add you to a marketing mailing list simply because you have contacted us about a booking.

Event Bookings and External Websites

Some events advertised on our website are organised by independent promoters, community groups or other organisations.

Where an event uses an external ticketing or booking service, you may be directed to another website to complete your booking.

Those organisations are responsible for their own handling of personal information, and we recommend reading their privacy policies before providing your details.

For events booked directly through the Pie Hall website, personal information may be processed using Wix and its associated booking or event services.

How your information is stored

Our website is built and hosted using Wix website hosting, forms and other online services.

Information submitted through the website may be stored and processed through Wix and any other services we use to manage enquiries and bookings.

We take reasonable steps to protect the information we hold and limit access to people who need it for the running of the Pie Hall.

Sharing your information

We do not sell your personal information.

We may share relevant information with service providers who help us operate the website, process bookings, manage payments or provide other services on our behalf.

We may also share information where required by law

International data processing

Some of our website and service providers may process personal information outside the UK.

Where this happens, we will ensure that appropriate data protection arrangements are in place, as required by UK data protection law.

How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected, or where we are required to retain records for legal, financial or administrative reasons.

Booking and financial records may need to be retained for longer than general enquiries.

Our retention periods are based on the type of information held and the relevant legal or operational requirements.

Cookies

Our website uses cookies and similar technologies to support its operation and, where enabled, to understand how visitors use the site.
